1. Purpose – This page details the items released in June of 2013 with accompanying release notes. The items released include:

2. Release Notes – Below are the various items released along with their respective item type, new/enhancement classification, release date, target audience, and release notes. 

  1. Historical Data: 

    • Item Type: Subject Area
    • New/Enhancement:New
    • Release Date: 6/27/2013
    • Target Audience: All financial reporting users 
    • Notes: 
      • Financial data archives from fiscal year (FY) 1998 through FY 2009 have been added to UDW+. There are two new subject areas for this data, including "UDW – Budget Summary and Detail Historical" and "UDW – AP Payment Historical." This data resides in separate subject areas than the FY 2009 and onward data due to differences in the chartfield structure. These differences include the fact that there are no global business units and that it contains chartfields that may no longer be in use and therefore not visible to all users unless they have access. 
      • The data source is not UDW+ and performance may be less than optimal.
      • Required filters are absolutely necessary when creating ad-hoc reports. 
      • The payment subject area "payment amount" comes from the DST/expense side. This is different from the standard payment status report which is sourced from the cash portion of the transaction. This is significant because there are cases in which the amount that was expensed differs from what the vendor received due to tax withholdings. 

  2. Enhancements to Budget Summary & Detail: 

    • Item Type: Report
    • New/Enhancement: Enhancement
    • Release Date: 6/27/2013
    • Target Audience: Departmental managers 
    • Notes: 
      • The Budget Summary and Detail dashboard was enhanced to include several historical data reports, such as budget summary historical, budget detail year-to-date (YTD) historical, and budget detail monthly historical. 

      • Because the source of this data is different from existing reports, new historical versions of the existing reports had to be recreated. A pixel perfect version is currently not in place. 


  3. Enhancements to Payment Status Report: 

    • Item Type: Report 

    • New/Enhancement: Enhancement

    • Release Date: 6/27/2013

    • Target Audience: Departmental managers 

    • Notes: 

      • A historical version of the payment status report was added to the Accounts Payable and Purchase Order Reports dashboard. 

      • The payment status report was enhanced to sort by payee and then by payment date. Prior to this change, there was no logical sort order in this report. 

  4. Addition of Payroll Access to "Chartfield Security" Lookup: 

    • Item Type: Report
    • New/Enhancement: Enhancement
    • Release Date: 6/27/2013
    • Target Audience: All financial reporting users
    • Notes:
      • Report 00.FAME chartfield security report was enhanced to include payroll specific access. All users may now look up all chartfields that a given new ID can access.

  5. Enhancements to Fund Balance Report: 

    • Item Type: Report
    • New/Enhancement: Enhancement
    • Release Date: 6/27/2013
    • Target Audience: Fiscal officers
    • Notes: 
      • The "revenue less expense" label was changed to "current fund balance." 

  6. Enhancements to Purchase Order Summary Report: 

    • Item Type: Report
    • New/Enhancement: Enhancement

    • Target Audience: Departmental managers
    • Notes:
      • A checkbox "open PO balance" was added to the parameter options for the purchase order summary report. This feature will enable users to only bring back PO's that still have an open balance. 

  7. Student Financials Reconciliation Report:

    • Item Type: Report
    • New/Enhancement: New
    • Release Date: 6/27/2013
    • Target Audience: Fiscal officers
    • Notes: 
      • This is a new report to reconcile Bursar and financial data. There are four types of reconciliations, including financial aid, tuition, SF to GL (variances by fiscal year), and SF term based (variances by academic term). 

  8. Student Petty Cash Report: 

    • Item Type: Report
    • New/Enhancement: New 
    • Release Date: 6/27/2013
    • Target Audience: Fiscal officers
    • Notes:
      • The student petty cash report allows the users to see outstanding student petty cash balance by student, approver, or department. This report replicates the existing Brio Report
      • This does not include non-student petty. 


  9. Unpaid AP Items Report: 

    • Item Type: Report
    • New/Enhancement: New
    • Release Date: 6/27/2013
    • Target Audience: Departmental managers
    • Notes:
      • The unpaid AP items report replaces two reports, including "unpaid approved vouchers" and "unpaid PO vouchers." It enables users to see all items that have been entered in the system by accounts payable but have not yet been paid. The report enables drilling to invoice line information and it contains the AP workflow ID where applicable.
