  1. Budget Exception Subject Area Enhancements:

    • Item Type: Subject Area

    • Notes:
      • Additional fields have been added to the budget exception subject area to help users investigate budget fails. The fields that have been added include journal source, invoice number, and journal header description.

  2. Add "Vendor Type" to Vendor Dimension:

      • The "vendor type" field enables the user to distinguish if a vendor is a student, employee, external vendor, etc. User this field to get further insight into the types of vendors to which you are making payments. The values in this field are centrally maintained by accounts payable.

  3. Grants Detail Subject Area Enhancements:

      • The grants detail subject area has been enhanced and now includes data from Fund 76 (ADH) and exceptions (for the entire university).

  4. Grants Dashboard Enhancements:

    • Notes: 
      • The following changes have been made to the Grants dashboard:
        • "Other funds sources" are available for selection on the PI Summary page. These other faculty relevant funds include 20-21-22. 
        • A "when are my reports due" report has been added to the bottom of the PI Summary page. This enables PIs and administrators to see when their reports are due to sponsors.
        • An "everyone paid from the grant" report has been added as a drill option from the project field on the PI Summary page. This drills into a report that shows everyone that has been paid since the beginning of a grant. 
        • "Exceptions" have been added to the dashboard as a separate column. Exceptions also now factor into the remaining balance calculation, low budget indicator, and projected overhead rate (within committed dollars). Additionally, the "projects with exception" report has been removed from the PI Summary page.
        • An "alerts" page has been added which provides five reports that require attention from PIs and administrators. These reports include negative salary encumbrances, projects with exception, projects with low balance, and projects coming to an end.
        • A "sponsored program spending" page has been added to the dashboard for administrators. This page shows a series of reports that tracks research and non-research spend by division. The reports show how spend has been allocated by sponsor and direct/indirect accounts.
        • "Grants budget detail" has a bar chart which has been re-formatted. The amounts are now more legible and the chart is aligned with UDW+ standard formatting.
        • On the PI Summary page, the "total anticipated award" field has been re-labelled to "total award amount."
        • Fiscal year prompts have been added to the Grant Administrator dashboard pages (Grants by Fund, Grants by Org, Grants by PI)
        • The Salary Expense Report page has been removed. There is now a Salary Expense Report link on the PI Summary page.
        • The payments received drill report from the Expense Breakdown page has been enhanced to show detail at the journal line level.

  5. Vendor Search Fix:

      • The vendor filter is now constrained by the business unit selection. This new feature will facilitate selection of the correct vendor in cases where the same vendor is used in multiple locations (i.e. Fedex does business with WSQ as well as many global sites; the name is always Fedex but each site has a different vendor number).

  6. Budget Summary Report Enhancements:

      • The Budget Summary report now includes a conditional alert which identifies whether a personnel account has a negative encumbrance balance. In these instances, a budget fail is the likely cause of the negative amount. Aside from an alert that displays on the screen, the encumbrance amount is formatted in red and provides a drill into the Budget Exception report.

  7. Budget Control Summary (Drill) and Detail Enhancements:

  9. Remove Salary Drills on "Rollup to Fund" Views:

      • Beta testing revealed that drilling to salary detail from the "rollup to fund" view caused performance issues. The option to drill into salary has been removed on the budget summary and fund balance report.

  10.  Student Financial Report Updates:

      • The student financial reports have been enhanced. A number of additional student and financial related fields are now available when exporting the data to CSV or tab delimited files.

  11. AP Subject Areas Enhancements:

      • The AP voucher subject area has been enhanced to include additional voucher line detail amount for merchandise, freight, and miscellaneous charges.
      • The AP payment subject area has been enhanced to include the full voucher amount for each payment that has been added as an attribute of the payment. In this manner, you can see the total amount of the voucher even if your lines are a subsection of the total.

  13. Financial Operations Dashboard Updates:

      • A new column for pre-encumbrances has been added to the Financial Operations dashboard on both the Overview and Balance Detail tabs. This amount will only be populated for NYUAD at this time as it impact available budget checked balances. 
      • AD users may also drill to detail to see information about the related purchase orders. 
      • As per the AD budget office, at time there may be personal transactions entered through ePro that will generate pre-encumbrances.
